Why do we have a privacy policy?

Signet Recruitment & Retention is committed to privacy for everyone who uses our services – we appreciate that you do not want the personal information you provide to us distributed indiscriminately.

Under the EU General Data Protection Regulations (GDPR – which replaces the Data Protection Act from the 25th May 2018), we must comply with certain rules which are designed to ensure that any data you provide to us is processed with due care and attention.

Data protection principles

Personal data must be processed in accordance with six ‘Data Protection Principles.’ It must:

  • be processed fairly, lawfully and transparently;
  • be collected and processed only for specified, explicit and legitimate purposes;
  • be adequate, relevant and limited to what is necessary for the purposes for which it is processed;
  • be accurate and kept up to date. Any inaccurate data must be deleted or rectified without delay;
  • not be kept for longer than is necessary for the purposes for which it is processed; and
  • be processed securely.

Our legal basis for processing your data

We will collect and process your personal data for the purposes of finding you a new role/employment. The legal basis we rely upon to offer you these services are:


Legitimate Interests

Under data protection law there are some circumstances where we may rely on a legitimate interest to process your personal data. This can be used if we have a genuine and legitimate reason and we are not harming your rights and interests. We feel the following activities allow us to provide a more efficient and personalised service;

  • For us to continue providing services to candidates and clients we

need to process your data for internal administration

  • We consider it reasonable to expect that if you’ve posted your information and CV onto a job board or professional site, you are happy for us to collect and/or use your data to offer our services to you.
  • Introducing candidates to clients and therefore the sharing of data is an essential part of this process.
  • We have our own obligations under the law and therefore may share your data in relation to tax collection, crime detection or litigation cases.
  • We store supplier data to enable the receipt of services from you as well as financial details to pay you for your services.
  • As a referee, we use your personal data in order to contact you for a reference


Should we want or need to rely on consent to lawfully process your data we will request it by email and record your response on our system. ‘Opt-in’ consent means you have given us consent freely without pressure, that you know what you are consenting to and that you have given positive and affirmative action in giving us consent.

You have the right to withdraw your consent to processing at any time

What sort of data do we collect?

Signet collects Personal Data on candidates, temporary workers, clients and suppliers. We do this so we can provide you the best possible bespoke service. We collect and process certain information about you to aid with your career opportunities.

This Data consists of but is not limited to:

  1. Candidates:
  • Name
  • Date of Birth
  • Contact details
  • Right to work in the UK – passport/identity card/birth certificate
  • Emergency contact details
  • Financial details
  • Education details
  • Employment details
  • Referee details
  • Nationality
  • Work permit details
  • Criminal conviction details (if required)
  • Disability-related information (If applicable)
  • Details about your current benefits/salary arrangements
  • Information your referees choose to tell us
  1. Suppliers: If you are a supplier of Signet Recruitment & Retention we will only hold data to aid the relationship and ensure it runs smoothly. This could include contacts within your organisation (name, address, contact number, email), Bank details for processing payments.
  2. Customers and client data: Contact details (name, address, phone number, email) Company reg. number and financial information (where we need to carry out a credit check). We may hold extra information that someone in your organisation has chosen to tell us.

You are under no obligation to provide any such information; however, this will affect the quality of the services we are able to provide you if you choose not to.


How do we Collect your data?

Candidate/employee data

Directly from you;

  • This is information you provide while searching and applying for new employment opportunities through job sites
  • Applying for a job directly through our website
  • Emailing your CV to the Signet Recruitment & Retention team

Through Other Publicly available sources:

  • LinkedIn
  • Google
  • Facebook & Twitter
  • Company web sites and other social media platforms
  • Delegate lists
  • Association lists
  • Membership lists

Through third party sources:

  • By reference or word of mouth. For example, you may be recommended by a friend, a former colleague or a former/present employer.

Client and Supplier data

Directly from you:

  • Where you contact us by telephone /email
  • Where we contact you through business development activities
  • Where we contact you through procurement activities

Why do we process this personal data?

We process this personal data when necessary to aid the recruitment process and fulfil contractual agreements with clients. To provide our services to you and to market roles/services as well as advise you of news and industry updates, events, promotions and competitions.

Who do we share your personal data with?

Where necessary we may pass data to third parties and affiliates that helps us to process data, and to prospective or intended employers/clients for the purpose of recruitment.

Where appropriate we may share your personal data with:

  1. Clients to introduce candidates to them
  2. Candidates to arrange interviews and engagements
  3. Third party service providers who perform functions on our behalf including Eden Group (Payroll)
  4. Payment or any other financial service providers (HMRC, Sage payroll)
  5. Third party outsourced IT providers where we have a processing agreement in place
  6. Individuals or organisations who hold information related to your reference or application to work
  7. We may disclose your personal information if required to do so by law.

We may also share aggregate information with selected third parties, but we do not disclose individual names or any identifying information.

In the event that we undergo re-organisation or are sold to a third party, you agree that any personal information we hold about you may be transferred to that re-orgnanised entity or third party.

How is this data safeguarded?

The security of your data is extremely important to us. Access to your personal data is only provided to our staff and third parties who help us to process data or, in order to help with the recruitment process, to prospective employers or customers.

We have security measures in place to attempt to protect against the loss, misuse and alteration of personal information under our control. You should bear in mind that information you submit via our websites, whilst it is in transit over the internet, is at your own risk.

Your rights:

Below is a list of your individual rights under the new GDPR regulations, these do not apply in all circumstances:

  1. The right to be informed about the personal data we process on you
  2. The right to access your personal data and supplementary information
  3. The right to have your personal data rectified if it is inaccurate or incomplete
  4. The right to have your personal data erased (the “right to be forgotten”)
  5. The right to restrict processing of your personal data
  6. The right to object to processing of your personal data
  7. The right to move, copy or transfer your personal data (“data portability”)
  8. The right to object, processing based on legitimate interests, direct marketing and processing for purposes of scientific/historical research and statistics
  9. The rights in relation to automated decision making which has a legal effect or otherwise significantly affects you.

Data access rights

You have the right to access information we are processing and obtain information about how we process it this is called a subject access request. We will send you a copy no later than 30 days from when we receive your request.

Please note we will make reasonable security checks prior to release of any information.  

How long do we keep your data for?

Signet will retain your personal data only for as long as we need it for our legitimate business interests, is consistent with the law and that you’re happy for us to do so.

If we have not had contact with you for a period of three years, we will delete your personal data from our systems unless we believe in good faith that the law or other regulation requires us to preserve it (for example, because of our obligations to tax authorities or in connection with any anticipated litigation).

Data transfers

It may sometimes be necessary to transfer personal information overseas. When this is needed information is only shared within the European Economic Area (EEA). Any transfers made will be in full compliance with all aspects of the data protection act.


We will provide training to all employees regarding their responsibilities under the GDPR as part of their induction process and refresh regularly thereafter. Employees whose roles require access to and/or processing of personal data will receive additional training to ensure a thorough understanding of this policy and associated documents.

How do we let you know if our policy changes?

Any policy changes, either due to business reasons or future changes in legislation, will be posted on our website and, if substantial, may be promoted on the website or through e-mail notification. This privacy policy was last updated in May 2018.
